Application, Requirements & Policies for Graduation 

Graduation marks an important milestone for recognizing your academic achievement.
Graduates are encouraged to take part of commencement and to share their accomplishment with family and friends.
Congratulations on all your hard work!

To make the process go smoothly, review the information below. Be sure to follow all instructions.

GENERAL GRADUATION INFORMATION 

Graduation Policies and Requirements are outlined in the Academic Catalog. 

All students must apply or re-apply to graduate, regardless of commencement participation.

For all student applicants, the Office of the Registrar will collaborate with Deans and Departments to evaluate and certify all requirements have been met. 

STUDENT RESPONSIBILITIES 

• Students are responsible for knowing and fulfilling requirements for graduation, and should carefully read the catalog and curriculum requirements.
  • The University cannot assume responsibility for failure of students to fulfill catalog and curriculum requirements.
• If questions arise about requirements, students should consult with the appropriate Department Chair, College Dean or the Registrar several semesters prior to graduation.
  • ~With reasonable notice, the University may modify degree requirements.
• Students who wish to graduate from West Virginia State University must apply for graduation by completing an application within the prescribed period outlined in the Academic Calendar. 
• Students are required to apply one semester PRIOR to the degree completion semester

• Participation in commencement does not indicate degree completion.
• Students who fail to complete their academic responsibilities during the final semester must complete all degree requirements before the University confers a degree.

• If a student does not complete requirements, the student must re-apply.
  •  Applications do not roll.
• Fall 2022-  If a student does not complete requirements, the student must re-apply prior to the start of the Spring 2023 term.
• Spring 2023 Forward- All students must apply in the semester prior to the final term in which the degree requirements will be completed.
  • For Example: If completing requirements in...
    • Spring, must apply in Fall.
    • Summer or Fall 23, must apply in Spring 23

DiplomaS

Students who have satisfied all requirements will receive diplomas via mail to the address given on the application. Only after all degree requirements and all financial obligations to the university are met, will the diploma be ordered. 

• Diplomas are custom ordered and can take between 5-8 weeks to process and ship

Note: You will be asked to provide your "Full Name" on the application.
Be sure to print your legal name exactly as you wish it to appear on your diploma. 

• Make sure that your name is spelled correctly, including any punctuations.
• Make sure this name matches your student record name and submit any necessary documents to the Office of the Registrar if applicable.

Any student expecting or believing to complete all requirements by the end of Spring 2024, is highly encouraged to apply now.

*You will be charged an application fee to graduate once the application closes, please see the "Fees" box on the previous page for more information. 

Licensure & Certificate Programs

Students seeking completion of non-degree post graduate and certificate programs including but not limited to the MEIL program for licensure certification should use the above graduation application. 
*Please carefully select the Licensure or Certificate option, then choose the program you are completing, then submit.  

• Please note: Students completing non-degree programs will not receive the additional Ceremony or Regalia Information. 
• Once all grades are submitted and the final audit of your record has been reviewed and determined complete, your credential will be awarded in the system (available via transcript order) and certification will be mailed.
